As the Senior Maintenance Inventory Coordinator, you’ll lead strategic inventory planning, optimize procurement processes, and ensure seamless availability of critical parts and tools that will directly impact equipment uptime, cost efficiency, and long-term asset reliability in our state-of-the-art facility.
HOW YOU WOULD CONTRIBUTE:
• Strategic Inventory Oversight: Design and implement inventory control systems to support preventive and reactive maintenance. Lead forecasting efforts to anticipate supply needs and minimize downtime.
• Vendor & Supplier Management: Build and maintain strong relationships with key suppliers. Negotiate contracts, pricing, and delivery terms to maximize value and ensure continuity of supply.
• Cross-Functional Leadership: Serve as the primary liaison between maintenance, procurement, finance, and operations. Influence decision-making and drive alignment across departments.
• Data-Driven Optimization: Analyze inventory trends, usage patterns, and cost data to identify opportunities for improvement. Present actionable insights to leadership.
• Technology & Systems: Oversee the use and configuration of inventory management software. Ensure accurate data entry, reporting, and integration with maintenance planning tools.
• Compliance & Documentation: Maintain detailed records of warranties, service histories, and regulatory documentation. Ensure audit readiness and adherence to internal controls.
• Mentorship & Guidance: Provide informal leadership and support to maintenance staff. Share best practices and contribute to a culture of continuous improvement.
• Emergency Preparedness: Develop contingency plans for critical part shortages and support rapid response during equipment failures or urgent repairs.
• Special Projects: Lead or contribute to facility-wide initiatives related to asset management, cost reduction, and operational efficiency.
WHAT’S SPECIAL ABOUT THE TEAM:
The maintenance department is responsible for ensuring the proper functioning, safety, and efficiency of all equipment, facilities, and systems within an organization. Our duties often extend to both preventative and corrective actions to minimize downtime, maintain productivity, and enhance the lifespan of assets. We pride ourselves on servicing the facility in a safe and efficient manner.
SUPERVISORY RESPONSIBILITIES:
(As needed/shared supervision) Supervising temp/maintenance personnel during cycle counts or full inventories.
SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:
o Proficiency in Microsoft Office Suite, especially Excel for data analysis and reporting
o Experience with Oracle systems for procurement workflows
o Experienced in Computerized Maintenance Management Systems (CMMS), preferably e- Maintenance, including configuration and optimization
o In-depth understanding of inventory control systems, cycle counting, and reconciliation processes
o Ability to interpret blueprints, schematics, and technical diagrams for equipment and facility maintenance time
o Strategic thinker with the ability to prioritize tasks, manage multiple projects, and meet tight deadlines
o Demonstrated success in vendor management, including negotiation, performance tracking, and relationship building
o Exceptional written and verbal communication skills across all levels of the organization
o Ability to collaborate with engineering, accounting, and production teams to align maintenance and inventory goals
o Maintains confidentiality of sensitive company data and proprietary information
o Strong interpersonal skills with a track record of building cooperative relationships with internal and external stakeholders
o Ability to lift 20 pounds, stand for extended periods of time. May frequently need to kneel, squat or bend.
Experience:
Minimum 4 years’ experience in a maintenance or industrial environment.
Prior experience in inventory management or inventory control.
Familiarity with maintenance operations, tools, and equipment is highly beneficial.
Ability to read blueprints, schematics and parts diagrams.
Auditing Inventory stores, reporting discrepancies and investigating variances.
Education:
o High School Diploma
o Assicates Degree OR equivalent work experience
PREFERRED QUALIFICATIONS
Working knowledge of warehousing operations as it relates to the specific functions of inventory system.
Working experience in a cGMP facility
Experience working in a warehouse with material handling equipment and conveyance
