Job Summary:

The Parts Buyer and Maintenance Scheduler/Planner plays a crucial role in ensuring the smooth operation of the bakery’s production equipment and facilities. This position is responsible for purchasing, organizing, and managing parts and supplies for the maintenance team, while also developing and maintaining detailed maintenance schedules for both preventative and corrective actions. The individual will work closely with maintenance, production, and suppliers to maintain efficient, uninterrupted bakery operations.

Key Responsibilities:

Parts Buyer Responsibilities:

        •       Source and purchase maintenance parts, materials, and supplies, ensuring timely delivery to minimize production downtime.
        •       Build and maintain strong relationships with vendors and suppliers, negotiating prices and terms to achieve cost-effective procurement.
        •       Maintain inventory levels of critical spares and consumables by monitoring stock, performing regular audits, and forecasting future needs.
        •       Track and manage orders, including receipt, storage, and issuing of parts, ensuring accurate record-keeping.
        •       Develop a preferred supplier list and manage vendor contracts to ensure quality and cost-effectiveness.
        •       Evaluate supplier performance and resolve any issues related to parts quality, delivery, or service.
        •       Monitor and report on parts usage, costs, and inventory levels to the Maintenance Manager.

Scheduler/Planner Responsibilities:

        •       Develop and maintain detailed preventive maintenance (PM) schedules for all bakery equipment and facilities in coordination with the maintenance team.
        •       Plan and prioritize corrective maintenance work orders to minimize downtime and ensure the continued operation of production lines.
        •       Coordinate with production and other departments to schedule planned maintenance activities without interrupting production schedules.
        •       Prepare and distribute weekly maintenance work schedules, ensuring adequate staffing and resources are available.
        •       Track and report on maintenance activities, including planned vs. completed work orders and downtime metrics.
        •       Collaborate with the Maintenance Manager to adjust schedules based on equipment performance, downtime, and production needs.
        •       Use CMMS (Computerized Maintenance Management Systems) to track and document all work orders, parts usage, and equipment history.

Qualifications:

        •       Experience: Minimum 2-4 years of experience in maintenance planning, parts procurement, or a related role, preferably in a food production or manufacturing environment.
        •       Education: High school diploma or GED required; associate degree or technical training in maintenance, supply chain management, or a related field is a plus.
        •       Skills:
        •       Strong organizational and time-management skills.
        •       Excellent communication and negotiation abilities.
        •       Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with CMMS or ERP systems.
        •       Knowledge of maintenance operations, parts procurement, and supply chain best practices.
        •       Ability to work collaboratively in a team environment and interact with various departments.
        •       Analytical mindset with attention to detail in inventory management and scheduling.

Work Environment:

        •       Primarily works in an office setting within the bakery, but may frequently enter the production floor or maintenance shop to collaborate with teams.
        •       Must be able to lift up to 50 lbs. and occasionally stand or walk for extended periods.
        •       May be required to work occasional evenings or weekends based on production needs and maintenance schedules.
